We are looking for a detail-oriented and proactive Office Administrator to join our team and support our daily operations.


Position Overview


The Office Administrator plays a key role in keeping the office running smoothly by handling administrative tasks, coordinating communication, and supporting various departments. Reporting to the Operations Manager, this role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and brings a positive, professional attitude to the workplace.


Key Responsibilities


  • Manage day-to-day office operations and ensure an organized work environment
  • Schedule meetings, coordinate calendars, and assist with travel arrangements
  • Maintain office supplies, place orders, and manage vendor relationships
  • Prepare and format documents, reports, and presentations
  • Assist with onboarding new employees and maintaining personnel files
  • Collect, review, and enter field staff timesheets; ensure accuracy and timely submission for payroll processing
  • Support accounting tasks such as invoicing, expense tracking, and data entry
  • Maintain file systems (digital and physical) and ensure accurate record keeping
  • Assist management and project teams with administrative support as needed


Qualifications


  • Previous experience in an administrative or office support role (1-3 years preferred)
  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to work independently and multitask effectively
  • High attention to detail and commitment to accuracy
  • Professional and friendly demeanor
  • Experience with timekeeping or payroll system
  • Experience supporting project teams or field personnel
  • Experience working in a construction or trades environment would be an asset
