Executive Assistant (Remote – Toronto-Based)

Salary: $75,000-$85,000 annually

Location: Toronto, ON (Remote, with in-person meetings quarterly)


Employment Type: Full-Time, Permanent

A dynamic organization dedicated to advancing diversity, equity, and inclusion in the professional space is seeking a highly experienced Executive Assistant to provide direct support to the Chief Executive Officer. This role is best suited to a proactive, detail-oriented professional with a strong background supporting C-suite executives, who thrives in a fast-paced, remote working environment. While the role is primarily remote, candidates must reside in the Greater Toronto Area to attend occasional in-person conferences and team meetings.



Key Responsibilities:

Executive Support:

  • Manage complex calendar coordination across multiple time zones
  • Draft high-quality correspondence to clients, stakeholders, and executives
  • Coordinate distribution of personal correspondence on occasion
  • Prepare materials and agendas in advance of executive meetings

Office & HR Administration:


  • Maintain accurate staff records, including leave tracking
  • Facilitate onboarding and offboarding processes
  • Coordinate resolution of minor technology issues
  • Process and track approved invoices and payments

Special Projects:

  • Contribute to ongoing administrative projects (e.g., updating internal documents, creating templates)
  • Maintain and manage an internal talent board: posting opportunities, coordinating vendor onboarding, and reporting metrics


Qualifications:

  • Minimum 15 years of experience as an Executive Assistant, with a strong preference for experience supporting a single C-suite executive
  • Exceptional communication and grammatical skills
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent organizational, prioritization, and time management skills
  • Ability to work independently with minimal supervision
  • Proven ability to anticipate needs, think critically, and act resourcefully
  • Comfortable with occasional flexible working hours as required
  • Demonstrated ability to build strong relationships with both internal teams and external stakeholders
  • Adaptable and collaborative team player
