<h3>Position Summary</h3>
<p>Reporting to the Executive Director, the Director of Operations ensures the smooth functioning of the Society's administrative, operational, and organizational systems. This role oversees office operations, supports HR and finance processes, and manages facilities, technology, and governance support. The Director of Operations ensures compliance, efficiency, and alignment with the Society's mission and strategic priorities.</p>
<h3>Key Duties and Responsibilities</h3>
<p><b>Operations & Administration (30%)</b></p>
<ul>
<li>Oversee day-to-day office operations and administrative systems.</li>
<li>Develop and implement organizational policies, procedures, and processes to support efficiency and compliance.</li>
<li>Manage contracts, leases, insurance, and vendor relationships.</li>
<li>Support risk management and ensure compliance with legal, regulatory, and reporting requirements.</li>
<li>Maintain organizational records, databases, and filing systems.</li>
</ul>
<p><b>Finance & Budgeting (20%)</b></p>
<ul>
<li>Work closely with the Executive Director and Finance Manager to monitor budgets and financial processes.</li>
<li>Support grant and funding compliance by ensuring accurate documentation and reporting.</li>
<li>Provide backup support for the Finance Manager as required.</li>
</ul>
<p><b>Human Resources & Staff Support (20%)</b></p>
<ul>
<li>Support the Executive Director in HR functions, including onboarding, training, and maintaining HR files.</li>
<li>Oversee payroll administration and benefits coordination in collaboration with the Finance Manager.</li>
<li>Foster a positive workplace culture that reflects the values and mission of the Society.</li>
</ul>
<p><b>Facilities & Technology (15%)</b></p>
<ul>
<li>Oversee management of office space, equipment, and IT systems to ensure staff have the tools they need.</li>
<li>Work with vendors and contractors to maintain and upgrade technology and facilities as required.</li>
<li>Implement improvements to systems to strengthen efficiency and accessibility.</li>
</ul>
<p><b>Board & Governance Support (10%)</b></p>
<ul>
<li>Provide operational and administrative support to the Board of Directors and committees.</li>
<li>Assist with the preparation of Board meeting packages, minutes, and follow-up on action items.</li>
<li>Support alignment of operations with the Society's Strategic Plan.</li>
</ul>
<p><b>Other Duties (5%)</b></p>
<ul>
<li>Contribute to Society events, fundraising activities, and community engagement efforts as needed.</li>
<li>Act as a resource and problem-solver for the Executive Director and staff team.</li>
</ul>
<h3>Qualifications</h3>
<ul>
<li>Degree or diploma in business administration, nonprofit management, or a related field.</li>
<li>5+ years of progressive experience in operations, administration, or nonprofit management.</li>
<li>Strong knowledge of HR, finance processes, and organizational compliance requirements.</li>
<li>Excellent organizational, problem-solving, and project management skills.</li>
<li>Strong interpersonal and communication skills with the ability to foster collaboration.</li>
<li>Proficiency with MS Office and experience managing databases, IT systems, and vendor contracts.</li>
</ul>
