We are seeking a qualified and motivated individual to join our Vaughan based team as a Receptionist/Administrator. As a key member of HBNG Holborn Group, the Receptionist will be responsible for answering calls and directing visitors while also providing administrative support as needed. This position will be reporting to the Office Manager.

Here is what you will focus on:

  • Greeting and Welcoming: Providing concierge services to visitors, clients, employees and partners by welcoming them in a friendly and professional manner. Provide a warm and inviting atmosphere while maintaining a high level of professionalism.
  • Managing Phone Calls: Answer and direct incoming calls to the appropriate individuals or departments within the firm. Take accurate messages and ensure timely delivery to the intended recipients.
  • Client Assistance: Assist clients with appointment scheduling, inquiries, and general information. Provide outstanding customer service, ensuring clients feel valued and their needs are addressed promptly.
  • Communication Liaison: Serve as a point of contact for internal and external communication, ensuring messages are relayed accurately and promptly to the appropriate parties. Disseminate information effectively within the organization.
  • Administrative Support: Provide administrative assistance to various departments such as preparing documents, filing, data entry, and other clerical tasks as required.
  • Confidentiality and Security: Maintain strict confidentiality regarding sensitive information and ensure the security of client records and files. Adhere to data protection policies and procedures.
  • Problem Resolution: Handle client inquiries, complaints, or issues professionally and efficiently, escalating matters as necessary to the appropriate individuals or departments.
  • Team Collaboration: Collaborate with colleagues and staff members to ensure smooth operations and effective teamwork. Support other administrative staff when required.

  • Perform other duties requested by the Office Manager

What we are looking for:


  • Post secondary education or minimum 3-5 year’s work experience in a professional services work environment in a similar role. Customer facing client service experience is considered an asset.
  • Strong track record of customer service and people management
  • Ability to handle multiple requests in a fast-paced environment and be responsive to requests/service issues.
  • Ability to navigate ambiguity in a rapidly changing environment.
  • Strong analytical skills with the ability to provide and implement recommendations.
  • Exceptional verbal and written communications skills with the ability to communicate with all levels of the organization, including third parties.
  • Discretion and ability to maintain confidentiality when dealing with sensitive information.
  • Strong attention to detail and accuracy.
  • Proficient in using Microsoft Office software, including Excel, Word, PowerPoint, and Outlook.
