Snow & Landscape Estimator / Project LeadPosition Overview

The Snow & Landscape Estimator / Project Lead is responsible for estimating and bidding on Snow and Landscape contracts, coordinating internal project planning, and supporting smooth service delivery through collaboration with the Branch Manager and Account Manager/Supervisors.

This role focuses heavily on estimating accuracy, contract setup, project coordination, and cross-functional support. The Project Lead ensures that awarded work is properly scoped, documented, costed, and ready for operational deployment.

The ideal candidate is analytical, organized, detail-oriented, and experienced in landscape and/or snow service workflows, including municipal and public-sector contracts.

Key ResponsibilitiesEstimating & Bidding 
  • Prepare detailed and accurate estimates for:

    • Landscape maintenance and turf management

    • Seasonal plantings and enhancements

    • Landscape improvements and small projects

    • Snow & ice management services

  • Assess labor, material, equipment, and production rates to develop competitive proposals.

  • Review site plans, drawings, specifications, and RFP/RFQ requirements.

  • Prepare compliant submissions for municipal, provincial, federal, and institutional contracts.

  • Analyze past job-cost performance to continuously refine pricing and production rates.

Internal Project Planning & Coordination
  • Collaborate with the Branch Manager and Account Managers/Supervisors to plan the execution of awarded contracts.

  • Conduct internal site verification visits to confirm quantities, access points, risks, and logistical requirements.

  • Provide accurate maps, measurements, material lists, and site-specific instructions to operations teams.

  • Document scopes clearly in Aspire to support scheduling, routing, and service verification.

  • Track project budgets, productivity, and material usage; support internal cost-control initiatives.

  • Participate in post-project reviews to improve future estimating and operational efficiencies.

Cross-Functional Collaboration
  • Work with the Branch Manager to ensure resource availability aligns with upcoming awarded work.

  • Collaborate with Account Managers/Supervisors on routing, schedules, and crew/equipment needs based on estimated scopes.

  • Coordinate with the Mechanic for equipment allocation required for specific contracts.

  • Support the Account Managers/Supervisors by ensuring contract details are accurately set up in Aspire.

Operational Support
  • Collaborate with the team to pre-storm planning by providing accurate route data, resource needs, and service scopes.

  • Support Supervisors during storm events when internal coordination or documentation is required.

  • Help develop and maintain site documentation, route maps, and operational instructions.

  • Monitor internal KPIs such as labor efficiency, material usage, and route performance to support cost control and better estimating.

Systems, Documentation & Reporting
  • Use Aspire to build estimates, set up contracts, input job details, and track project performance.

  • Maintain updated production rates, pricing sheets, and service templates.

  • Ensure data accuracy to support scheduling, invoicing, and financial reporting.

  • Analyze service results to recommend improvements in future estimates and operational planning.

QualificationsEducation & Experience
  • 3–5 years experience in estimating, project management, or operations planning within landscape or snow services.

  • Experience with government tendering and public-sector compliance is an asset.

  • Strong knowledge of landscape and snow equipment, materials, and service workflows.

Skills & Competencies
  • Strong analytical and numerical abilities.

  • Ability to read and interpret site plans, drawings, specifications, and contracts.

  • Excellent organizational skills and attention to detail.

  • Proficiency with Aspire, LMN or similar estimating/project management tools.

  • Effective internal communication and cross-department coordination skills.

Other Requirements
  • Valid driver’s license; ability to travel to job sites as needed.

  • Comfortable working in a fast-paced, weather-driven environment.
