We are seeking a detail-oriented and proactive Property Administrator to support the day-to-day operations of our property management team. The ideal candidate will have strong organizational skills, excellent communication abilities, and a passion for providing top-notch customer service to tenants and property owners.

Responsibilities
Customer Service

  • Address tenant inquiries and concerns promptly, ensuring a high level of satisfaction.
  • Manage lease agreements, renewals, and move-in/move-out processes with professionalism.
  • Build and maintain positive relationships with tenants to foster a sense of community.
Financial Management
  • Assist with rent collection, and processing of payments.
  • Prepare and maintain accurate financial records and reports for assigned properties.
  • Monitor accounts receivable and follow up on overdue payments in accordance with company policies.
Maintenance Coordination
  • Coordinate maintenance requests, ensuring timely communication with tenants and vendors.
  • Liaise with contractors and service providers to schedule repairs and ensure quality work.
  • Conduct regular property inspections to identify maintenance needs and ensure compliance with safety standards.
Administrative Duties
  • Maintain organized records, including lease documents, tenant correspondence, and property reports.
  • Support marketing efforts by updating property listings and assisting with tenant outreach.
  • Ensure compliance with local landlord-tenant laws and regulations.
Team Collaboration
  • Work closely with the property management team to streamline operations and improve processes.
  • Provide administrative support for property-related projects and initiatives.
  • Contribute to a positive team environment by sharing insights and best practices.

Qualifications & Skills
  • College diploma or equivalent; Bachelor’s degree in business, real estate, or related field preferred.
  • 1-3 years of experience in property management, real estate, or administrative roles is preferred, but candidates passionate about property management are also welcome.
  • Travel to the property two to three times per week is required; a valid driver’s license and reliable transportation are necessary for these visits.
  • Fluency in Mandarin is an asset.
  • Strong proficiency in Microsoft Office and property management software (Yardi) is a plus.
  • Excellent communication and interpersonal skills, with a customer-focused mindset.
  • Ability to multitask, prioritize, and work independently in a fast-paced environment.
  • Knowledge of local landlord-tenant laws and regulations is a plus.
