<p><strong> Title: Pre-Construction Coordinator </strong><p><strong> Reports To: </strong> Production Manager & Sales Manager </p><p> <strong> Salary: </strong> $70,000 – $85,000 per year </p><p> <strong> Hours: </strong> Monday to Friday, 8:00am – 4:30pm (+3 weeks vacation)</p><p> <strong> Benefits: </strong> 3% RRSP Match, Health Spending Account ($300), Health & Dental Plan, Disability & Life Insurance, Paid Time Off </p><p></p><p></p><p><strong> Summary of Position </strong></p><p><strong> The Pre-Construction Coordinator </strong> is responsible for managing all aspects of the estimating and the pre-construction process to ensure each project moves smoothly from design to construction. This role gathers pricing from trade partners and vendors, prepares accurate budgets, coordinates pre-construction activities and documents, and supports the transition of projects to the production team. </p><p> You will work closely with the Sales and Design teams to ensure a complete handover package to production and accurate estimate, while maintaining Rusch Design Build’s standard of excellence for quality, accuracy, and collaboration. </p><p> This position requires a highly detail-oriented, analytical, and organized individual who thrives in a team-based environment and takes ownership of pre-construction systems and communication. </p><p></p><p></p><p><strong> Position Requirements </strong></p><ul><li> Strong communication, organization, and coordination skills with regular working hours. </li><li> Excellent time management and ability to manage multiple projects simultaneously. </li><li> Demonstrated accuracy in estimating costs, preparing budgets, and tracking revisions. </li><li> Ability to uphold project timelines and budgets while ensuring quality and completeness. </li><li> Contribution to developing and refining <strong> Standard Operating Procedures (SOPs)</strong> within the pre-construction department. </li></ul><p></p><p></p><p><strong> Responsibilities and Duties </strong></p><p><strong> Estimating / Pre-Construction </strong></p><ul><li> Review plans, structural details, and specifications to prepare accurate material and labor estimates. </li><li> Collaborate with Design and Sales to understand full project scope and budget objectives. </li><li> Gather and track pricing from trade partners, suppliers, and vendors per project scope. </li><li> Perform detailed material take-offs and calculate labor requirements. </li><li> Prepare budget and cost breakdowns for client presentations and internal reviews. </li><li> Track and update estimate revisions as design evolves. </li><li> Identify areas for value engineering and communicate recommendations to Sales and Design. </li><li> Flag design selections or specifications outside of budget targets. </li><li> Ensure pricing aligns with project profitability goals and production feasibility. </li><li> Prepare and manage <strong> Request for Proposal (RFP)</strong> packages and track submissions. </li><li> Coordinate and schedule <strong> trade walkthroughs </strong> for project pricing. </li><li> Manage RFP tracking logs, follow-ups, revisions, and responses. </li><li> Support Design in writing, reviewing, and editing detailed specifications. </li><li> Maintain active communication with vendors and trade partners throughout pre-construction. </li><li> Evaluate new trade partners and vendors, ensuring documentation and compliance are complete prior to job start. </li><li> Maintain and update trade bank to keep Rusch Design Build competitive. </li><li> Prepare the <strong> Construction Agreement </strong> and complete the “Construction Document Package” for client authorization once final budgets are confirmed. </li></ul><p><strong> During Construction </strong></p><ul><li> Support the Production team with estimating assistance for significant change orders. </li><li> Provide clarification and support during project startup and execution. </li><li> Participate in site or coordination meetings as needed to ensure estimating accuracy and continuity. </li><li> Respond promptly to internal communication platforms (e.g. Slack, Buildertrend) regarding pre-construction or cost-related updates. </li></ul><p><strong> Post-Construction </strong></p><ul><li> Participate in <strong> Job Debriefs </strong> (1–2 months post-project) to evaluate performance, accuracy, and lessons learned for continuous improvement in pre-construction processes. </li></ul><p><strong> Marketing and Representation </strong></p><ul><li> Represent Rusch Design Build professionally in all interactions with clients, trades, and the community. </li><li> Promote the company’s values and reputation — “Every act is a marketing act.”</li></ul><p></p><p></p><p><strong> Performance Expectations </strong></p><ul><li> Manage multiple projects in the design/pre-construction stage with precision and accountability. </li><li> Maintain comprehensive, organized documentation and communication throughout all project stages. </li><li> Consistently meet Rusch Design Build process milestones (budget reviews, trade walkthroughs, construction starts). </li><li> Contribute to continuous improvement of pre-construction systems and estimating accuracy. </li><li> Demonstrate the <strong> C-style DISC traits </strong> — conscientiousness, accuracy, structure, and consistency — essential for maintaining Rusch’s quality standards.
