<p>Job Title</p><p>Front Desk Coordinator/ Receptionist</p><p>Purpose of the Position</p><ul><li>Patient appointment booking and patient relations</li><li>Managing the schedule of multiple clinic locations</li><li>Checking in patients and managing patient list for procedures</li><li>First Impression of clinic</li></ul><p>Working Relationship / Guidance</p><ul><li>Works collaboratively with administration, clinical staff and physicians;</li><li>Is accountable to and works under direct supervision of the Manager;</li><li>Acts in accordance with the behavioural standards and policies of Provis-Rudd Clinics.</li></ul><p>Physical Requirements of the Position</p><ul><li>Physical Skills: Keyboard skills, Computer literacy and proficiency</li><li>Multi-tasking- navigating through software while using the phone. Using multiple softwares and platforms in unison.</li><li>Physical Demands: Extended periods of sitting in a restricted position. Ability to wear head phone while efficiently typing with two hands at the same time. Efficiently using computer and telephone equipment.</li><li>Mental Demands: Concentration while inputting phone numbers and dealing with enquiries. Extremely challenging when busy and working alone. Ability to function well under stress;</li><li>Emotional Demands: Dealing with emergency calls and distressed relatives.</li></ul><p>Education, Qualifications, Knowledge and Skills</p><ul><li>High School Diploma with at least one year experience in medical reception and medical records;</li><li>Customer service experience preferred</li><li>Previous hospital or medical clinic experience desirable;</li><li>Above average telephone manner and skills;</li><li>Strong written communication skills and excellent command of the English language;</li><li>Computer skills at the intermediate level;</li><li>Good organization and prioritizing skills, attention to detail;</li><li>Caring and compassionate manner;</li><li>Flexibility.</li></ul><p>TASKS and RESPONSIBILITIES</p><ol><li><p>Contact Centre</p></li><li><p>Receiving phone calls from patients and advising patients about preparation for procedures;</p></li><li>Placing telephone calls to book appointments;</li><li>Receiving calls to change/cancel appointments;</li><li>Placing confirmation telephone calls;</li><li>Receiving and relaying of messages for nurses and physicians; f) Computer scheduling (Healthscreen or Telus) to book patients for endoscopy procedures for various clinic locations and physician schedules;</li><li>Setting up of new patients and physicians in Healthscreen or Telus and updating existing electronic charts;</li><li>Advising billing department of appointment cancellations and ensuring appropriate billing;</li><li><p>Preparing and sending patient information packages.</p></li><li><p>Administrative / Clerical</p></li></ol><p>(may apply to some positions in the contact centre)</p><ul><li>Receiving fax referrals and entering them in Telus; b) Maintaining referral statistics;</li><li>Downloading, completing and sending of endoscopy reports;</li><li><p>Ordering of office supplies and other clerical functions as required.</p></li><li><p>Interpersonal</p></li><li><p>Maintains open, positive communication with colleagues, supervisors and physicians;</p></li><li>Communicates with referring physicians, patients and their families/care givers; c) Maintains professionalism and confidentiality of patient, personnel and corporate information</li></ul><p>Job Type: Full-time</p><p>Pay: From $19.50 per hour</p><p>Benefits:</p><ul><li>Casual dress</li><li>Company events</li><li>On-site parking</li></ul><p>Ability to commute/relocate:</p><ul><li>Oakville, ON: reliably commute or plan to relocate before starting work (required)</li></ul><p>Experience:</p><ul><li>Medical reception: 1 year (preferred)</li><li>Customer service: 1 year (preferred)</li></ul><p>Language:</p><ul><li>English (required)</li><li>French (preferred)</li></ul><p>Work Location: In person</p>
