This role is responsible for both the approval of estate settlements and their respective financial processing. Ensuring timely, accurate, and compliant administration of deceased client accounts. The ideal candidate will have strong analytical skills, a good understanding of estate processes, and a commitment to delivering exceptional service to clients, advisors, and internal partners. They will also be assisting in implementing new developments in our current operation as we sustain rapid growth in business. Review and validate estate documentation (e.g., death certificates, wills, probate).Open and maintain estate files in accordance with internal policies and regulatory <span >requirements.Coordinate</span> with internal departments to freeze accounts and initiate estate <span >processing.Communicate</span> with executors, beneficiaries, and legal representatives to gather required documentation and provide updates.Ensure accurate data entry and record-keeping throughout the estate lifecycle.</p><p> </p><p><b>WHAT YOU WILL DO</b></p><ul><li>Review and validate estate documents (e.g., death certificates, wills, probate). Assess and approve settlements within delegated authority limits.</li><li>Review calculations for distributions, and taxes to ensure accuracy and compliance.</li><li>Taking ownership in ensuring the process of death settlements are complete in a timely manner. Coordinating and collaborating with internal business units to ensure exceptional service is delivered efficiently and effectively</li><li>Coordinate with internal departments to freeze accounts and initiate estate cases upon notification of death</li><li>Complete ad-hoc outgoing EFT and wires to other financial institutions, Process transfers of cash and positions between client accounts</li><li>Manage, respond to, and process requests received through the internal “Estate” mailbox, Salesforce, and Gateway within set SLA.</li><li>Assist with special projects during peak periods as assigned, and contribute to ongoing initiatives undertaken by the department. Ad hoc duties relevant to the position shall be assigned as required</li></ul><p> </p><p><b>WHAT YOU WILL BRING</b></p><ul><li>1-3 year of experience in the <span >Administrative/Operations/Back</span>-office environment of a Financial Services company or similar capacity is preferred.</li><li>Strong understanding of Estate/Death Settlement Processes and Registered Products (RRSP, RIF, TFSA, Locked-in funds, RESP) is preferred</li><li>Understanding of wealth management fundamentals and/or Mutual Funds</li><li>Post Secondary degree, preferably in Business or relevant field of study</li><li>French is an asset</li><li>Prior data entry/financial transaction processing experience</li><li>Experience in process improvements and optimization is preferred</li><li>Strong communication skills, both verbal and written.</li><li>Proficient with MS Office Suite (Word, Excel, and Outlook).</li><li>Self-initiated, fast learner with a positive attitude.</li><li>Organized, detail oriented, and hardworking character.</li><li>Ability to work in a fast-paced and challenging environment.</li><li>Excellent analytical and problem-solving skills.</li><li>Extensive knowledge of industry back-office or Operations practices.</li></ul><p><b>WORKING CONDITIONS</b></p><ul><li>Overtime may be required during peak periods</li></ul><p>CI Financial is an independent company offering global wealth management and asset management advisory services through diverse financial services firms. The anticipated base salary range for this position is $42,500 to $71,000. Exact salary depends on several factors such as experience, skills, education, and budget. Salary range may vary based on geographic location. In addition to base salary, this position is eligible for participation in a bonus program.
