The Billing Manager – Project Billing oversees the end-to-end billing process for project-based work, ensuring accuracy, compliance, and timely invoicing. This role manages a team of billing administrators, collaborates with project and finance teams, and drives process improvements to support financial performance and client satisfaction.
As a Billing Manager, you will:
- Prepare and issue invoices based on project milestones, time & materials, or fixed-fee arrangements
- Use Salesforce to issue pay applications to clients as agreed and Microsoft D 365, and update end to end details in client portal
- Maintain accurate billing records and project cost allocations
- Code invoices to appropriate GL accounts and project numbers
- Coordinate with project managers to validate billing data and ensure alignment with contracts
- Manage markup/rates on billings
- Monitor accounts receivable and follow up on outstanding payments
- Reconcile billing discrepancies between Salesforce and Microsoft D 365 and resolve client inquiries
- Generate billing reports for internal and external stakeholders
- Conduct monthly reconciliations, analysis, and reports
- Ensure compliance with company policies and client agreements
- Assist in developing and implementing billing policies and procedures
- Other administrative and project related tasks as assigned
- Team Leadership :
- Lead, mentor, and develop a team of billing administrators.
- Assign workloads, set performance goals, and conduct regular reviews.
- Provide training on billing systems, policies, and best practices.
Our ideal candidate has:
- 5 plus years of experience in a similar role
- Basic understanding of accounting (debits/credits)
- Experience in a similar environment would be an asset
- Advanced knowledge of Microsoft D 365, and Microsoft Office specifically Excel
- Knowledge of Salesforce software an asset
- Excellent written and verbal communication
- Excellent analytical, time management and organization skills
- Superior attention to detail
- Excellent leadership, communication, and analytical skills
- Ability to handle strict deadlines and work under pressure
- Professional, responsive, and positive work attitude
- High respect for confidentiality and a high level of sound and independent judgement, reasoning, and discretion
