Full Job Description

This part-time (27.5 hours/week) role is responsible for a wide range of administrative duties and key to our business running smoothly. A hybrid position, the successful applicant must be willing to work in our office Tuesday to Thursday. Remote work on Monday and Friday is possible.

Duties and responsibilities include:

  • Greet office visitors, answer phones, open and distribute / scan mail; file hardcopy or digital files
  • Purchase office supplies and software licenses as required
  • Manage new hire HR and IT set up. Assist with resolving technology issues
  • Support office facilities and coordinate with building management, including Health & Safety Committee and Fire Warden duties
  • Organize, schedule and coordinate meetings and social events
  • Create PowerPoint presentations and other documentation
  • Backup bookkeeping data entry
  • Set up and manage new vendor and client master data
  • Communicate with vendors and clients on billing matters
  • Assist with report preparation
  • Assist with government interactions, administration, reporting, remittances and compliance
  • Other office administrative duties as required

Your qualifications:

  • Degree or diploma in business administration or related field, and at least 2 years of relevant working experience
  • Pays deep attention to detail and has strong organization skills
  • Able to show us your Office 365 Online skills (Word, Powerpoint, Excel, Teams, Sharepoint)
  • Can effectively communicate with a decentralized team virtually through chat and video meetings
  • Excellent verbal and written communication skills
  • Able and willing to work in our office 3 days a week
  • Provide references from past supervisors about the above capabilities

LOCATION: 3280 Bloor St West, Toronto (Islington & Bloor Subway, Line 2). Well-serviced complex with Goodlife, many food options, parking nearby.

ENVIRONMENT: Open concept, flexible hours, including late start Mondays (1 pm) and Fridays end at 1 pm.

  • Work is hybrid – Tuesday-Thursday in office. Flex Monday and Fridays work from home.
  • When in office, workspaces are appropriately physical distanced. Must be fully vaccinated.

COVID-19 considerations:
Work at ClickInsight has always been hybrid, 3 days/week in office. All employees must be fully vaccinated to work on site. Our building has regular sanitization of all areas and adheres to all public health policies.
